See all students
Tap the Students tab. Only Active students show by default — use the Active / Inactive / All filter above the list to see others.
The list is one combined roster: admins and staff with the Students permission see every student at the school. A staff member without that permission sees every student across all the classes they're assigned to teach, combined into one list. There's no per-class filter on this screen — open a class's own People tab to see just its roster.
Search for a student
- Tap the Students tab.
- Tap the search bar.
- Type the student's name.
Add a new student
- Tap the Students tab.
- Tap the + button.
- Type the First Name and Last Name (required).
- (Optional) Add Date of Birth, Address, any custom fields your school has set up, Student Phone, Student Email, a Class, emergency contact details, Allergies, and Medical Notes.
- Tap Create Student.
Student Email is for the student's own app sign-in, not for a parent. To invite a parent, do that afterward from the student's Family tab.
Import students from a CSV
Import a whole roster from a spreadsheet — any column layout works, and nothing needs renaming first.
- Tap the Students tab, then the Import button next to the main +.
- Choose a file — a CSV export from your other system, or tap Download a starter template if you don't have one.
- Match the columns: say which column is which field. Columns Inscriti recognizes are filled in for you already.
- Match the classes: point each class name in your file at the matching Inscriti class.
- Review the preview — new students, students updated, already up to date, rows needing review, and rows that can't be imported — then tap Import.
Two switches appear on the preview step:
- Authorised pickup (on by default) — whether every guardian in the file is approved to pick up their child. Change it per guardian afterward if needed.
- Parent invitations (off by default) — turn this on to email an Inscriti invitation to parents in the file who don't already have an account.
With invitations left off, importing only creates the students. Add parent emails from each student's profile, or share a class code, to connect families afterward.
Edit a student's info
- Open the student.
- Tap the pencil icon.
- Update the info.
- Tap Save.
Admins and staff with the Students permission only.
Add a photo to a student
- Open the student → Edit (the pencil icon).
- Tap the photo.
- Choose a photo or take one.
- Save.
Any staff member — or a linked parent — can update a student's photo; the Students permission isn't required just for this.
Fill in custom fields for a student
- Open the student.
- Tap the pencil icon.
- Scroll to Custom Fields and fill in each one your school has set up.
- Tap Save.
Already-filled custom fields also show on the student's Health tab. Admins and staff with the Students permission only.
Enroll a student in a class
- Open the student.
- In Class Enrollment, tap Enroll.
- Add or remove classes for that student.
- Tap Save enrollment.
You can also add a student from the class side — see Add students to a class. Enrolling a student in a class enrolls them for that class's school year; there's no separate "enroll in a school year" step. Admins and staff with the Students permission only.
Invite a parent from a student
Full details are in Class Codes & Inviting Parents. In short:
- Open the student → Family tab.
- In Parents & Guardians, tap Invite.
- Enter the parent's email and relationship, then tap Send Invitation.
The parent gets an email to set up their account and is linked automatically the moment they sign in with that address.
Manage a parent's access to a student
- Open the student → Family tab.
- In Parents & Guardians, tap Manage.
- Toggle Primary contact, Approved for pickup, and Receives notifications for each parent.
- To fix a name or phone number, tap Edit details. Their email is their sign-in and can only be changed by Inscriti support.
Admins and staff with the Students permission only.
Remove a parent from a student
- Open the student → Family tab.
- In Parents & Guardians, tap Manage.
- Tap Unlink Access next to the parent.
- Confirm.
Admins and staff with the Students permission only.
Withdraw a student
Withdrawing makes a student inactive — there's no separate "Archive" feature, it's the same action. It removes the student from active class rosters (their history is kept) and, for parents with no other active child at the school, deactivates the parent's access too.
- Open the student.
- Open the Account tab.
- Tap Withdraw.
- (Optional) Pick a reason, a withdrawal date, and add a note.
- Confirm.
From the Students list, selecting one or more active students and tapping Archive does the same thing in bulk, without the reason/date/note step.
Admins and staff with the Students permission only.
Re-enroll a withdrawn student into a class
- Tap the Students tab and filter to Inactive.
- Find the student and tap the Re-enroll chip on their row.
- Pick one class for the current school year.
- Save.
This reactivates the student and enrolls them in that class in a single step. Admins and staff with the Students permission only.
Reactivate a student without enrolling
Reactivating only changes a student's status back to active — it doesn't enroll them in a class. Use Re-enroll instead if you also want to assign a class in the same step.
- Open the student.
- Open the Account tab and tap Reactivate — or, from the Students list filtered to Inactive, select the student(s) and tap Restore.
- Confirm.
Admins and staff with the Students permission only.
Delete a student
Deletion is permanent — it removes the student's attendance, enrollment, notes, behavior, and portfolio. Shared message threads are kept for other participants but show the student as removed. A student must already be withdrawn (inactive) before they can be deleted.
- Open the student — they must already be inactive.
- Open the Account tab and tap Delete.
- Confirm.
Admins and staff with the Students permission only.
Add an entry to a child's Journey
- Open the student.
- Tap the Journey tab.
- Tap Add to portfolio (shown as Add first entry if the Journey is empty).
- Choose a Type: Milestone, Photo, Award, Artwork, Event, Note, First day, or Report.
- Add a Title, optional Description, and Date. Optionally add up to 6 photos.
- Set Visibility to Staff only or Share with parents.
- Tap Save entry.
Entries default to Staff only. Choose Share with parents if you want the family to see it in their child's Journey.
See a student's contact info, custom fields & medical notes
- Open the student.
- Open the Health tab.
Shows Contact & Emergency (address, student phone/email, emergency contact), any Custom Fields your school has set up, and Medical & Allergies notes.
The Health tab needs the Students permission — a teacher who can otherwise open this student's profile won't see this tab without it.
See a student's attendance history
- Open the student.
- Open the Attendance tab.
Shows a month-by-month attendance log with a summary and each day's status. A day the student left early shows the sign-out time, with a Signature you can view.
